The brief

What the client needed

A leading OTC healthcare manufacturer required an exhibition partner to help maximise engagement with healthcare professionals at a major industry exhibition while ensuring all interactions remained fully compliant.

The client wanted to move beyond a traditional exhibition stand and create a data-driven engagement strategy that would increase meaningful conversations with healthcare professionals, generate stronger commercial outcomes, and provide measurable ROI from their exhibition investment.

Alongside the stand experience, the client engaged Clinic Live to develop a strategic report identifying opportunities to increase compliant HCP engagement and improve exhibition return on investment.

The challenge

What had to be solved fast

Healthcare exhibitions present unique challenges for pharmaceutical and OTC brands.

The client needed to:
- Increase engagement with healthcare professionals.
- Demonstrate products and services in a more interactive way.
- Facilitate private educational discussions with key opinion leaders (KOLs).
- Maintain compliance throughout all HCP interactions.
- Capture meaningful insights from delegate engagement.
- Improve the commercial return generated from exhibition activity.

The stand environment also needed to accommodate both public exhibition traffic and private professional discussions without compromising compliance requirements.

The solution

How RAPID AV delivered

RAPID AV designed and delivered an immersive exhibition environment centred around healthcare professional engagement.

A large-format interactive touchscreen was installed as the centrepiece of the stand, allowing delegates to explore content, product information, and educational resources through an intuitive digital experience.

To support higher-value conversations, a dedicated private KOL engagement area was created within the stand environment. This space enabled healthcare professionals to participate in focused educational sessions, peer discussions, and expert-led presentations away from the busy exhibition floor.

Clinic Live simultaneously conducted an in-depth HCP engagement review, analysing delegate behaviour, interaction opportunities, and engagement pathways. The resulting report identified strategies capable of increasing healthcare professional engagement and delivering an estimated 3-5x improvement in exhibition ROI through enhanced audience segmentation, educational content delivery, and compliant engagement workflows.

To further strengthen compliance controls, silent headphone technology was deployed within the KOL area. This allowed educational content and discussions to remain contained within the intended audience while providing an auditable engagement process. The approach reduced the risk of non-target audiences accessing content and supported the client's due diligence requirements.

The combination of interactive technology, dedicated KOL engagement spaces, silent listening systems, and strategic HCP engagement analysis enabled the client to maximise both educational impact and commercial value from the event.
